Pricing is per edition. A club running both editions subscribes to each and receives a multi edition discounted rate.
In principle, yes, the generic tools exist to do this. But doing so requires some degree of expertise and aptitude, ongoing software development, secure architecture, governance-specific configuration, continuous document ingestion, role-based access controls and regular refinement as leadership evolves. Without sustained internal technical capability, and commitment what starts as a promising idea becomes challenging to maintain. GCA is that infrastructure, already built, configured and continually evolving for golf club leadership.
We are heavy users of paid generic AI models. Golf Club Advisor was developed through practical use of these tools, and from understanding both their strengths and their limits. General AI supports individuals. GCA is designed to support the club itself: knowledge belongs to the club, not to individual accounts. It is structured around governance and operations, and it stays as golf club leadership transitions.

Your documents, records and institutional history stay with the club, structured and accessible to authorised leadership. When golf club leaders move on, the club's historical and current governance and operational knowledge stay and is immediately available for new leadership to access.
Each club's knowledge store holds up to a terabyte of records: board papers, strategic plans and policies, course and clubhouse infrastructure documentation, maintenance facility records, constitutional history, and foundation and membership material. If historical files that exist only on paper can be digitised, they can be uploaded, so the analysis and rationale behind past decisions is available when those questions come back around, as amalgamation, foundation and membership questions often do.
Each club has its own dedicated knowledge store, isolated from every other club. Your data is not shared across organisations or used to train AI models. Stored data is not publicly accessible and can only be queried through authorised API requests. Golf Club Advisor uses OpenAI's managed cloud infrastructure with encrypted communications, authenticated API access, and club level data isolation, supplemented by application-level authentication.
We handle setup and configuration. Your club provides its key documents: constitution, policies, board minutes, strategic plans and operational records. We structure and ingest these into your club's dedicated environment. The interface is intuitive and evolves with each individual user with onboarding guidelines provided for all users. Most clubs are up and running within 30 days.
Setup and onboarding cost is $1,500 + GST, with a monthly subscription of $250 + GST for up to 10 users on one edition. Subscriptions are for everyday club use by your named users. Fair and acceptable use terms apply. Six-month minimum term. Includes all technical updates and future feature rollouts. Pricing is per edition with discounted pricing for multiple editions.
